Amending User Data

How to make amendments to user data individually or in bulk

User Data

ACB has a lot of new data functions that may require admins to update their internal processes.

Once users are registered and active on the platform, admins are able to view, export and edit their profile data.

We also have a video on this particular function, if you would like to view this process from start to finish.

Amending Active User Data

Admins are able to edit front-end user data, in the cases that certain fields are not editable by users (like their official education) or incorrect data has been added to their profile. This can either be done individually or in bulk.

Updating Individual Users

Admins can edit users individually by navigating to the Admin Tools module on the front-end of the platform.

You will then be prompted to read and accept the below message:

Once agreed, you can then search for the user you are wishing to edit using the Search Bar or any of the filters:

When you have found your user, click on their image to view their profile. You will then be able to edit and save over any of the personal information from any data field on any of their multiple profiles:

NOTE: If your platform does not have this Admin Tools page and you would like yours to match this guide’s depiction, please contact us through your Monday.com board, and we would be happy to configure this for you without charge.


Bulk Updating Users

You can amend user data in bulk by creating and uploading .csv files within the Users tab of the Admin Dashboard.

User data you change using this tool:

  • Education information
  • Employment information
  • Contact details
  • Account types

User data you cannot change:

  • Account ID
  • – The Account ID can never be amended
  • Member ID
  • – The Member ID can never be amended
  • Unique ID’s 1-8
  • – Can be updated using our Apply ID’s tool in the Manage Area

  • 1. To bulk amend user data, navigate to the Users tab of the Admin Dashboard.
  • 2. Within the User Data tab, you will see the following toolbar at the bottom of the page, which you will use for uploading active user data.

Download user data template

The Download user data template button will provide a .csv of all of the data fields that are available on the platform.

You will then want to cut down the template, to include only the fields that you will be updating at this time. If this is a process you’ll be completing often, it is advised that you create and save your own, local templates. You can see examples of this here.

Creating your file

With the template available, you can then start to populate your data file.

Some instructions/tips on creating and formatting these files:

  • The upload must be CSV format only
  • The maximum file size is 20Mb (approximately 5k records). Please split your data into multiple files if required and upload one after the other
  • Your CSV must contain the Account ID (_accountId) along with the field that you want updated, specified by the headers
  • If you don’t want the value updated do not enter a value under that specific column header or removed from the file
  • If you want a value removed for that data field, enter “|DELETE|” for the value you want removed
  • When reviewing your changes at the end of the upload process, any changes not explicitly marked as ignored will be confirmed

Upload user data

Once your template is filled out and reviewed, you are ready to Upload it. Below you’ll see an example of an Address update file:

There are four stages to this process; Upload, Match, Repair and Complete.

  • 1. Click on the Upload user data button.
  • 2. This will open a pop-up for the file upload. You can either drag and drop the file in, or upload from your computer.

3. It will then ask you to confirm the row that contains the header:

During the Match stage, you will need to review, amend and confirm the headers are matching the correct fields.

You simply need to check that the data key you entered in the file matches the field label that is appearing here.

Any fields that do not match a label will show an error icon:

You need simply to search within Look up matching fields and select the appropriate label.

If there are any values in a drop-down field that does not correlate, you can also amend the value that has been entered.

Optionally, you can click on Confirm mapping to accept them, but so long as they are all green, you can continue to the next stage.

If you click Ignore this column, data from this column will not be uploaded.

Now that the headers are all matched to labels, you can review the data that is being uploaded, in case it doesn’t conform to any formatting rules.

  • 1. To see any records with issues, simply toggle on Only show rows with problems.
  • 2. If there are any formatting errors, the row and data in question will be highlighted. Otherwise, the window will show No data to display.
  • 3. Click on Continue to complete your data upload. You will be asked to confirm you are ready to submit.

You will then be able to see the new/amended information in the User Data table.
