Reporting Abuse

The reporting system, how it works and the process for both admins and front-end users

The System

Our reporting system allows users to flag up a private message or discussion post that they consider to be spam, abusive, or otherwise inappropriate. This allows administrators on the platform to review the reported message and take action accordingly.

This document will outline the system features, user journey and available actions for administrators for both discussion posts and private messages.


Private Message Reporting

Summary

Frontend

  • Users can report private messages received by other users.
  • After a message has been reported, it turns yellow and the message text is replaced by Message has been reported.
  • If they wish, users can view the original message content by clicking on the 3-dot menu and selecting Show or hide message.
  • The reporting user receives a notification confirming their report. They will only receive a further notification if the admin marks the report status as Closed.
  • The reported user receives a notification confirming the report. They will receive notifications on any action the admin takes on their post (marking as safe, commenting and/or deleting), and when an admin marks the report status as Closed.

Admins

  • Reported messages are highlighted in blue.
  • Admins can perform the following actions on a reported private message:
  • Comment
  • Delete
  • If the report is closed then both users will receive a notification confirming this.
  • Admin comments can be seen by both parties.

User Private Message Report Options

Reporting a message

A user can report a discussion post (provided it hasn’t already been reported and closed) by clicking on the 3-dot menu on the top right of the post in question and then Report Message.

The Report Message lightbox will open and the user can select from the following categories:

  • Spam
  • Abuse
  • Other

After writing a description and then clicking submit, the message text will be hidden and replaced with  Message has been reported.

It will also be highlighted in yellow. The user can choose to show the message again if they want by clicking on the 3-dot menu and selecting Show or hide message.

Both users will receive a notification confirming the report.

Nothing further can be done on the part of the user. If the reported post is commented on, marked as safe or deleted by an admin, only the creator of the post will receive a notification about it.

If the report status is set to closed by an admin, all users that reported the post and the original writer will receive a notification.


Admin private message report management

When a post has been reported by a user, admins will receive a notification.

To manage or action the report, you’ll need to go to the Admin Dashboard.

There are two places there where you can view the list of reports. There is a summary on the main Admin Dashboard page, or you can go to the Abuse Reports in the left hand navigation bar.

On the Abuse Reports page, you will see a table of all reports, along with:

  • Account ID of the person who reported the post
  • Account ID of the person who wrote the reported post
  • Type (where the report came from, e.g. private message, discussion post)
  • Report category (e.g. spam, abuse, other)
  • Status of report
  • Date report was created
  • Date report was last updated
  • Controls

Clicking on the pencil Edit icon on the right hand side will display a summary of relevant details at the top, the message or discussion thread, and the reported post highlighted in blue.

Clicking on the eye and envelope icons will allow you to view or message the users involved.

Under the Report Details section, you can change the status of the report by clicking the Status dropdown, to display whether it is open, being reviewed, has been ignored, or has been closed. Additionally, you can add notes to the report using the Admin Note box.

Discussion Post Reporting

Summary

Frontend

  • Users can report posts made by other users
  • After a post is reported, it turns yellow and the message text is replaced by Potentially offensive message hidden.
  • If soft-hide is enabled, users can view the original message by clicking on the 3-dot menu and selecting hide/show.
  • The auto hide feature will automatically perform the above actions if the report limit is hit (limit set in the block admin panel).
  • If soft-hide is turned off the text cannot be shown and the poster’s username will be hidden.
  • Auto-hide does not hide the post for the original creator or admins.
  • If the post has been auto-hidden or an admin has either deleted or marked the post as safe, the user can no longer edit or delete the post.

Admin side

  • Reported messages are highlighted in blue.
  • Admins can perform the following actions on a reported post:
  • Comment
  • Delete
  • Mark as safe
  • Mark as safe un-hides the message to all users. The post cannot be edited by the original writer or reported again by other users.
  • Comment notifies the user who wrote the post with the comment text, allowing them to respond.
  • Mark as deleted replaces the post text with ‘Message had been deleted by admin’
  • The poster will receive a notification when admin actions are taken.
  • If the report status is set to is closed then all the users who made reports and the original poster will receive notifications.
  • Admin messages can only be viewed by the user who made the post.

Discussion Block Settings

The admin options for the reporting feature are accessed via the Edit option on the Discussions block, to open the admin panel.

The options related to reporting are as follows:

Allow reports

Allows posts and comments to be reported by users.

Allow to auto-hide reported posts

Posts are automatically hidden without administrator input if the reporting threshold is met. For example, in the screenshot below, 3 people (the default setting) need to report a post before it will be auto-hidden.

Soft-hide reported messages

This option will only display if Allow to auto-hide is enabled.

Soft-hide means the text in the reported post is replaced with the ‘hidden’ message by default, but the user can use the 3-dot menu to choose to show the original message again.

If this is turned off, the message text is hidden and the 3-dot menu becomes only visible to admins.


User Discussion Report Options

Reporting a message

When a post has been reported by a user, admins will receive a notification.

On the post itself, you have three options:

  • Add comment
  • Delete
  • Mark as safe

Mark as deleted

Selecting Mark as deleted will bring up a lightbox for you to optionally leave a message to the user who wrote the post.

After clicking Submit, the post will be highlighted in red.

The user who wrote the post will see the admin comment below the deleted post, whose text will have changed to say ‘Message had been deleted by admin’.

Other users will only see the deletion message.

You can choose to view the content of the deleted message by clicking on the three dot menu and choosing ‘Show deleted message’.

Add comment

Adding a comment to a report will display the comment on the post for the original writer only.

Mark as safe

Mark as safe un-hides the message to all users. The post cannot be edited by the original writer or reported again by other users.

A post that has been marked as safe will show with a green highlight in the Abuse Reports section.

On the frontend, the post will no longer be reportable by other users. It can also no longer be edited by the author.
